Each message the Collect app can show, what it means, and what to do.

When linking a device

Message What to do
That code was not recognised. Check it and try again. Check each character. The code may also have been revoked or expired, so ask your supervisor.
Could not reach the server. Check your connection and try again. Linking needs internet. Move somewhere with signal and try again.
The code is refused on your phone It's already linked to another device. Your supervisor can click Unlink Device.

While collecting

Message What it means
No connection. Your responses are safe and will be sent when you are back online. Keep working. Nothing is lost.
This form is nearly full. Check with your supervisor before collecting more. The survey or form has 5 or fewer answers left for everyone.
You have reached the number of responses assigned to you for this form. Your personal quota is used up. See Collector quotas.
This form is currently closed to new responses. It has passed its closing date, or been closed by the supervisor.

After sending

Message What to do
Some responses were refused. Open Drafts to see why. Open Drafts and read the reason under each answer marked Errors.
This survey was changed after you downloaded it. Ask your supervisor before sending these responses. The questions were changed during your field work. Don't delete the answers. Export them and contact your supervisor.
Your response was saved and is waiting for supervisor review. The wording changed slightly, but the questions are the same. The answer is saved and your supervisor will check it.
This device is no longer linked. Ask your supervisor for a new code. The code was revoked, or the device was unlinked.
This form is no longer available. Ask your supervisor for a new code. The survey or form was removed or closed for collection.

For supervisors: changing a survey during field work

Collectors keep the version of the survey they downloaded. If you change it while they're in the field:

  • Changing only the wording of questions: answers are still accepted, but held as awaiting review for you to check.
  • Adding, removing or reordering questions: answers collected on the old version are refused, because they no longer match the questions.

Tip Finish your changes before field work starts. If you must change something, ask collectors to send everything first, then reconnect so they get the new version.

Before, during and after field work

Before:

  1. Issue one code per collector, with their real name and phone.
  2. Set an expiry date that matches the exercise.
  3. Have each collector link their code and send one test answer while still online.
  4. Check the survey's total limit against how many answers you expect.

During: watch when each collector last synced. Someone silent for two days is the one to call.

After: compare each collector's count with what they say they collected. A gap means answers still on a phone.
